Job Description Summary:
The Athletic Director/Head Coach will provide ethical leadership, oversight and day-to-day supervision of the intercollegiate athletic program, ensuring the program complies with College policies and procedures, as well as NJCAA and MCCAA rules and regulations. This position will also serve as Head Coach for one of the intercollegiate sports offered by SMC.


Required Qualifications:
Bachelors degree from an accredited college/university
At least two years of experience in athletics-related administration or equivalent in an educational environment
Collegiate head coaching experience in volleyball, basketball or wrestling
Demonstrated communication and interpersonal skills
Demonstrated leadership, organizational and problem-solving skills
A strong commitment to professionalism and continuing an atmosphere of institutional collaboration is vital to success in this position


Preferred Qualifications:
Masters degree
Higher education athletic administration experience
Supervisory experience in an athletic department
Demonstrated knowledge and understanding of the standards and requirements for NJCAA and Title IX regulations
Track record of coaching success and increased administrative responsibilities


Other Information:
Essential Duties and Responsibilities:

Leadership
o Develop and manage the implementation of program goals and objectives for the athletic program to ensure student-athlete academic and athletic success
o Foster a constructive and supportive environment for everyone involved
o Serve as the official College representative for matters concerning the MCCAA, Region XII and the NJCAA, which includes being current on compliance changes and requirements for ADA and Title IX
o Attend required athletic state and regional meetings as a representative of the college
o Effectively work with academic and student services to promote and support athlete recruitment, retention, completion and accomplishment of educational goals
o Participate in the Student Engagement Committee by attending meetings, providing updates, and collaborating on athletics and student success initiatives
o Ensure that emergency response protocols are known and followed by direct reports
o Be responsible for short- and long-term athletic program planning, including the encouragement of process and program improvement opportunities
o Respond to and document team concerns and complaints in a timely manner, which includes informing the VP for Institutional Advancement
o Coordinate the process and selection of SMC athletic awards for presentation at student leadership and athletic leadership programs
o Develop and review athletic policies and practices for consideration and approval
o Work with Marketing and SID personnel to coordinate athletic-related information for the external community in accordance with College standards
o Develop and maintain community partnerships and relationships with area high school and college athletic directors and programs
o Communicate to supervisors and other appropriate College personnel in a timely fashion regarding all emergencies or incidents of inappropriate conduct
o Explore and develop fundraising opportunities in collaboration with the SMC Foundation office
Athletic Operations
o Lead and manage the day-to-day athletic program operations
o Manage and coordinate all home and off-site athletic events, including schedules, preparation of facilities, equipment, officials, and game personnel (game management)
o Serve as Head Coach for one of the intercollegiate sports offered by SMC with a head coach opening (currently volleyball, mens basketball, womens basketball and wrestling)
o Coordinate with on-campus services and monitor the academic advising support, study table team activities and academic progress reports for student-athletes
o Provide regular communications to coaches and volunteers on program planning, College requirements and updates
o Complete NJCAA regional and national athletic award nomination submissions for student recognition
o Complete and monitor the athletic departments contribution to the SMC Strategic Plan
o Coordinate with intra- and inter-departmental staff to develop and implement regular athletic communications for upcoming programs and special events
o Coordinate and document the athlete annual orientation and Title IX training programs
o Oversee and coordinate travel for athletic teams during the regular and off-season competition, including possible spring break trips for designated teams
o Oversee and supervise the purchase of equipment for the athletic program
o Actively promote the athletic program and work cooperatively with the Marketing and Campus Life offices
o Coordinate the required and customary game filming and statistical recording for each team
o Ensure the SMC Athletic web site is current and relevant for weekly sports information and upcoming activities
o Review and update the coaches and student-athlete handbooks and other publications as appropriate
Supervision and Oversight
o Attend all athletic home events/competitions and act as game administrator, or be responsible for delegating a game administrator
o Hire and supervise a student staff to assist and support on-site team practices, competition and special events
o Coordinate and oversee the recruitment and search process, training and evaluation of athletic personnel (coaches, trainers, student workers, volunteers)
o Administer and communicate to athletic staff the College policies, procedures, necessary documentation including those specific to athletics (code of conduct, Title IX, FERPA, health insurance requirement, athletic handbook, eligibility)
o Review the athletic website for accuracy and approve rosters, schedules, personnel and athletic information
o In conjunction with the Colleges public relations personnel, serve as the liaison for community sports media and manage athletics-related communications
o Follow up with athletes and coaches to obtain NJCAA official and required documents for athlete tracking and eligibility submissions
o Oversee and ensure that athletic grant aid (LOI) and scholarship awarding submissions are timely and accurate for student account review and posting by the financial aid office
o Assist and support the coaches in recruiting student-athletes while working cooperatively with Admissions, Office of First Year Experience, and Financial Aid
Fiscal and Budget Management
o Be responsible for the financial preparation, monitoring and management of the athletic program
o Submit post-season tournament off-cycle budget requests and account for expenses following regional and national travel
o Follow the SMC annual budget request and reporting cycle
o Review reimbursement and credit card process and records for each head coach
o Coordinate, approve and monitor fundraising activities and requests for the Athletics Department
o Review with the VP for Institutional Advancement all fundraising proposals from coaches
o Actively engage in college-wide fundraising efforts with alumni and donor constituents
o Ensure trip and athletic-related expenses follow college and athletic policies
Compliance
o Ensure and demonstrate the athletic program follows College policies and procedures
o Demonstrate compliance with all NJCAA and MCCAA rules, regulations and guidelines
o Coordinate and monitor NJCAA required outcome reports for NJCAA including the athletic scoreboard
o Manage the NJCAA Letter of Intent (LOI) process for prospective and current athletes which must include timely electronic submissions
o Certify and monitor eligibility of student-athletes as prescribed by the NJCAA and any other governing agencies, which includes creating and maintaining required individual and team audit files
o Coordinate and supervise NJCAA sport audits when College is required to submit
o Work closely with the coaching staff to ensure that SMC, its staff and the student-athletes comply with all pertinent MCCAA and NJCAA compliance standards and requirements
o Ensure that sports facilities are prepared according to appropriate guidelines and make recommendations for required changes
o Monitor and report any federal equity issues with regards to Title IX compliance
o Track and report team travel information for the colleges annual Clery Report
o Provide and check athletic and program information for SMCs annual submission of the Title IV EADA report
