Assistant Athletic Director for External Operations and Senior Womens Administrator

Reports to:Director of Athletics

Description: The Assistant Athletic Director for External Operations is a member of the senior athletic leadership team and assists the Athletic Director with leading multiple areas of the department. The Assistant Athletics Director for External Operations is responsible for the overall leadership and supervision of external operations, with special emphasis placed on the integration of athletics communication, marketing and promotions, ticketing, and overall brand development. As a member of the Department's Executive Staff, this position is critical to streamlined communications and operations as it relates to marketing and promotions, ticketing, event management, community outreach and corporate sponsorship for athletics and recreation. Additional duties include serving as a liaison with Carroll's student-success department and serve as lead contact in event management.

Partial funding of this position is through the NCAA Strategic Initiatives Grant. Therefore, preference will be given to candidates that self-identify as female and/or an ethnic minority including American Indian or Alaska Native, Asian, Black or African American, Hispanic or Latino, or native Hawaiian or Other Pacific Islander.

Responsibilities:

Athletic Department Student Services:
  • Collaborate with and coordinate the Athletic Department Student Services Team to provide student athletes and staff with information and services to ensure academic and social success
  • Work with academic counselors and learning specialist to design programs to meet the needs of student-athletes
  • Monitor academic progress of athletes and work with the academic support staff to provide academic services needed for student athletes
  • Collaborate with the athletic department's staff on the design of an academic support program that meets the needs of student- athletes and conforms to NCAA and CCIW rules
  • Work with the athletic department staff to engage coaches in support of student-athlete use of the basic study skills and tutoring program
  • Implement a comprehensive student support program designed to meet the needs of student-athletes
  • Collaborate with Athletic Department Student Services Team on recruiting initiatives
  • Collaborate with Athletic Department Student Services Team to provide a career, life skills, and mentoring program that meets the needs of student-athletes
  • Collaborate with Athletic Department Student Services Team and the Office of Student Success to monitor the academic performance, normal progress, and graduation status of all student-athletes
  • Maintain and promote a high-integrity, excellent working relationship with the university faculty, department chairs, and deans of colleges
  • Report to the Athletic Director and staff on resources and programming for student-athletes
  • Communicate accurate and timely information regarding student-athlete issues, problems, and concerns to the athletic director

    Game management:
  • Manage game-day operations for assigned home events, including supervision of workers.
  • Work with the facilities manager to arrange facility setup for assigned home events.
  • Maintain key working relationships with coaches, staff, visiting teams, patrons, and external constituents in regard to events.
  • Develop and implement protocols for hosting a variety of home athletic contests, including needs of home and visiting teams, officials, fans, event staff, and concessions.
  • Identify, train, and supervise athletics event managers and student event staff.
  • Develop and train staff to respond to emergencies at home athletics events.
  • Attend home athletic contests prepared to address needs as they arise.
  • Exercise sound judgment in handling cash and controlling crowd behavior. Set up and tear-down facilities for various events, including athletic contests, recreational activities, meetings, and other special events.
  • Submit bids for NCAA post-season championships.
  • Supervise CCIW Conference and NCAA post-season championships.
  • Direct all aspects of game day and special event management across multiple sports and events. Manage and coordinate athletics department interns.
  • Other duties as assigned.

    Marketing/Promotions
  • Experience creating, executing and analyzing marketing and promotional plans.
  • Experience with planning and execution of all game day promotional activities, game day scripting, organizing presentations and groups, game day contests and entertainment, and managing in-game elements.
  • Ability to develop and execute creative and innovative marketing and promotional campaigns to drive affinity, attendance and revenue for varsity sport programs
  • Knowledge of and ability to interpret and apply NCAA and Division rules and regulations;
  • Ability to communicate effectively, verbally and in writing;
  • Knowledge and experience in Adobe Creative Suite (Photoshop & InDesign preferred)
  • Experience in building a fan base both on and off line.
  • Ability to set and meet goals, and objectives;
  • Proven track record in paying attention to the details;
  • Motivated to learn and constantly improve processes and tools;
  • Knowledge and experience in growing social media platforms;
  • Thrive on the ability to work independently
  • Highly organized and exceptional interpersonal, presentation, oral and written communication skills.

    Qualifications:

    Education and/or Experience:
  • Bachelor's Degree in sports management, physical education, business or related field required; Master's degree preferred.
  • Minimum of 2 years of related work experience required.
  • Three (3) or more years of intercollegiate athletics administrative experience preferred.


    Physical Demands:
  • Ability to lift, stand, kneel and physically assist with game facility set up and tear down.

    Technical Skills:
  • Knowledge of NCAA rules, compliance best practices, policies and procedures.
  • Knowledge of computer programs and software, including, but not limited to, Microsoft Office, CAi, ACS or similar compliance software, Experience with Compliance Assistant (CAi), ACS (or similar) software, LSDBi, RSRO, and the NCAA Portal considered a plus.
  • Ability to maintain confidentiality and adhere to FERPA guidelines.

  • Candidates must be willing and able to support and advance the University mission.
  • Knowledge of basic principles of administration, and management.
  • Demonstrated knowledge of and supervisory skills to accurately oversee the professional work in assigned areas.

  • Ability to exercise good judgment and discretionary skills in determining when to act independently and when to consult the Athletic Director prior to taking action.

  • Ability to communicate interpersonally and work collaboratively with a team, as well as be an independent contributor both within the athletic department and across campus.
  • Ability to perform the physical demands of the position.
  • Willingness to travel and work various hours, including evenings, weekends and holidays when required or as requested.
  • Commitment to the highest ethical and professional standards of conduct.
  • Must have valid Wisconsin motor vehicle license and be insurable under the University's insurance plan.
